At JMIR Publications, we provide authors the opportunity to review the copyediting changes, respond to any comments from the copyeditor, and provide their input on the copyedited manuscript in order to ensure that the manuscript is in the best-possible shape for publication.
Post-acceptance journey
Once an article is accepted, we await payment of the Article Processing Fee (APF, if applicable; see Payments FAQ), after which the article enters the production phase.
At this stage, we discourage authors from making revisions to manuscripts post acceptance. If any critical revisions remain outstanding, please reach out to copyed-support@jmir.org for assistance. Once production commences, the manuscript file cannot be changed.
Please also ensure that all references you intended to cite are in the reference list and have been verified for accuracy.
For the steps after acceptance, please see My paper has been accepted, what are the next steps?
Copyediting process
The copyediting process at JMIR Publications consists of three distinct steps. Your manuscript may be processed on one of our two production platforms: OJS (Microsoft Word–based) or Kriyadocs (web-based).
The journal staff will provide the appropriate access links via email and inform you of which platform your manuscript is assigned to.
Step 1: Initial Copyediting
In this stage, our copyeditors edit your manuscript for language quality and adherence to AMA Manual of Style (11th edition) and JMIR style guidelines.
Platform-Specific Instructions:
- If your manuscript is in OJS:
- The copyeditor will use Microsoft Word’s Track Changes feature for edits and the Comments feature to raise further questions.
- The copyeditor will also edit the author metadata (title, authorship, affiliations, abstract, and keywords).
-
References are removed from the manuscript file during this step to be handled in our proprietary RefCheck system. Similarly, figures and multimedia appendices are removed and maintained on the article webpage.
- If your manuscript is in Kriyadocs (KD):
-
Your copyeditor will edit the manuscript on a web-based editor (all revisions are tracked) and use the web-based query panel for correspondence. Queries are labeled as follows:
- AQ (Author Query): These require your direct response.
- CQ (Copyeditor Query): Use this to raise a query to a copyeditor.
- PQ (Publisher Query): Use this to raise a more generic query to our production team.
- References, figures, and multimedia appendices are all handled directly within the Kriyadocs platform.
Your copyeditor will notify you via email once step 1 (initial copyediting) is complete.
Step 2: Author Revisions
This is the author's primary review stage. You are responsible for reviewing all edits and addressing all outstanding author queries (AQs), and reviewing metadata and references to move the manuscript forward.
Platform-Specific Instructions:
- For OJS:
- Download the MS Word file, make your changes/comments, and re-upload the file to the system. Complete the 4 substeps (2a-2d) as outlined in our help article.
- Only the designated “submitting user” can directly access the article page, and they must consolidate feedback with all coauthors to formally sign off.
-
Consult the following help article for complete instructions: [OJS] Authors’ responsibilities during copyediting (Step 2)
- For Kriyadocs:
- Access the web-based editor via a secure link to review and make your changes, reply to AQs directly in the query panel.
- All coauthors will receive a PDF for review; however, only the designated "author for correspondence" can directly access the web-based platform, and they must consolidate feedback and formally sign off.
- Consult the following help article for complete instructions: [Kriyadocs] Authors' responsibilities during copyediting (Author Revisions stage)
Step 3: Final Copyediting
After you complete Step 2, the copyeditor will review your revisions, address pending queries, and perform a final cleanup of the manuscript for typesetting.
- Follow-up: We may contact you via email if further clarifications are required with specific instructions. Please respond promptly to ensure your paper stays on track for publication.
- Finalization: Once these steps are complete, our staff will prepare proofs for your final review.
- Important: Changes to the content, including revisions to language, references, data, or tables, are not allowed beyond this stage.
After copyediting, the author's point of contact is the Production Editor. Our Production Editors will typeset your manuscript and send authors a PDF file for final proofreading. For any questions after the copyediting process is complete, you can reach out to us at prod-support@jmir.org.
